Day 2
 Meet the People: Sarah Arnold

A conference operations manager

Conferences and events allow companies and people to display things about their companies or give talks.

Companies can organise events for themselves, but there are some companies that specialise in the organisation and managment of events. Sarah Arnold is an Operations Manager for one of those companies.

Interviewing Sarah

What does Sarah have to say about this type of work? Listen out for these words: delegate, total solution and corporate hospitality.

What do you think they mean?

Audio The company

Hello, my name is Sarah Arnold and I am the Operations Manager for Wembley Event Management Services. We provide a total event management solution to a company's event programme. We can source the right delegates, right from the beginning of the process to ensuring these delegates attend an event.

Audio The job

My job involves making sure that any client's requirements are met. So, for example, if they wish us to organise the venue, initially, we can go out to venue agencies or venues directly and book the appropriate venue for them. We can then phone up the delegates and check if they wish to come to the event, register them for the event and then mail them out the appropriate material; the delegate packs, their badges or location of the venue.

Audio More about the job.

We can also be involved in the exhibition side as well; have floor plans drawn up, help you to sell the exhibition space and co-ordinate all of those arrangements.

We have other companies, group companies, that can help and organise other functions such as corporate hospitality. It all depends on what the client requires and needs, we will provide a total solution for that, not just one aspect of the event but the whole process.

Quiz

Did you work out what those words mean? Well, test yourself with this little quiz. Click on the answers you think are correct and press 'Check Answers'.

delegates People who attend an event or conference

Provision of an overall service to fulfil a job

Sarah's four top tips on attending a conference

Tip 1: Audio

You must ensure you have a floor plan that's very specific as to where your stand is located. You will not be able to change this on the day and you will not be able to get additional space.

Tip 2: Audio

Remember to work out who is going to the event, where you are staying and how you are getting there. There will be many people heading for that same destination.

Tip 3: Audio

Remember when you book a stand, you are booking space only. You need to design what you want to put in that space and to make sure that the height requirements (note: the height of your material and the space provided) are all checked out by the organiser.

Tip 4: Audio

If you require any special equipment such as PCs, internet links or lighting, you need to organise this through the organiser. Most stands will only come with one power socket and one light, so order any extras in advance.
