A guide to our data requirements for the Music Reporting Form. The Music Reporting Unit (MRU) electronically process the music usage to the copyright collecting bodies, who then pay the copyright holders.

What Information Do We Need?
Required information for ALL independent and inhouse programmes (including repeats) comprises:

Music Details: Indicate whether the programme contains music or not

Episode Title and Episode Number
Programme Identification Number
It is important that the identification number is noted, particularly when more than one version of the programme has been created e.g. for a co-producer. It is only the version of the programme for BBC Network that will be submitted to the MRU.
Transmission Information
Transmission Channel
Delivery Date is not currently required
Transmission Date and Time
Duration in the format MM:SS
First Transmission Date (if a repeat)

Notes
There is a facility to write general notes about the music held against the programme, or in some cases specific version of the programme e.g. BBC Network version or version for co-producer with USA clearable music.
This information is for the use of production and can be viewed by anyone who has access to the submitted form. As this information is not required by the MRU, it will not be sent with the Music Details.

Music Log
Ensure the following information is provided for all programmes that contain music when logging the music items within the programme:
a) The number of music items.
b) The music used must be in the order transmitted.
c) Incidental music must have individual timings - not totalled.

Music Items
The following information must be provided for all programmes that contain music.

This can be of any length but only the first 45 characters will be submitted to MRU. |
| Strand Favourite |
A piece of music that is used throughout a strand of programmes e.g. opening titles or stings, as a Strand Favourite ensures that this information will be automatically available when completing any music details for all programmes in the strand. |
| Hired Sheet Music |
This is for music sessions and live performances where music scores have been copied. This information is for Music Hire and Orchestration only and will not be submitted to the MRU. If this information is required by Music Hire and Orchestration, the Music Reporting Form must be printed off and sent manually. |
| Composer |
Enter the surname first, and forename(s). If no information is available, e.g. in the case of a 'white label' disc (see ' i) Label' below), enter 'NFI'. If the item is a traditional piece with no known composer(s), enter 'TRAD'. Lyricists should be entered in the Composer field. Separate each name with a '/'. |
| Music Publisher |
Company names may be shortened by omitting the descriptive detail, e.g. 'Publishing Company Limited'. If an item is unpublished or played from manuscript, enter 'MS'. If there is no publisher, enter 'NA'. Separate each publisher with a '/'. |
| Arranger |
Enter the surname first, and forename(s). If no information is available, e.g. in the case of a 'white label' disc (see 'Label' below), enter 'NFI'. If there is no arranger, enter 'NA'. |
| Performer(s) |
The Performer(s) must be entered, surname first.
Separate each performer with '/'. Any number of performers can be entered by only first 65 characters will be submitted to the MRU. |
| Label |
This must be completed for all items coded C, M ,P, K or T.
i) For commercial recordings it is important to use the label name and not the name of the distribution company.
ii) For Film Unit Material enter the descriptive title for the code e.g. Soundtrack; as the Label.
A pick list of labels is available. If the Label does not exist on the list, this can be entered as free format text. However, great care must be taken to identify the label correctly. Once a new label has been added it cannot be removed and will become available to all other users. |
| Prefix |
The prefix is often letters and appears before the number. |
| Number |
The number must be completed for all items coded C, M, P, K or T. In the case of commercial recordings, this is the catalogue number and normally appears in larger, bolder type than any other number on the label. It is important that the number is not entered in the Prefix field. |
| ISRC number |
must be entered for video use. |
| Compact disc/ LP title |
The album/CD title must be entered for all items which have label details, if it is different from the artist or composer. |
| Side/band/track |
This must be entered for all items with label details. |
Notes
You can write general notes about the music item e.g. for specially composed music, the contact details of the composer or performer(s). This information is for the use of production and can be viewed by anyone who has access to the submitted form. As this information is not required by the MRU, it will not be sent with the Music Details.
Codes
For each item a two or three digit code must be entered to show the origin of the performance.

Background music is music added solely for the benefit of the audience and thus forms no intrinsic part of the programme.
Visual music forms a part of the programme in as much as it appears to be or is audible to those taking part in the programme e.g. any music sung or played in vision,
music which characters in a play can hear even if it comes from a performer or record player not in vision, music heard by people sitting in a cafe even though to those in the
programme it would be background music. All actuality music is visual.
Durations.
Should be in the format MM:SS
Timecode In & Out
For productions who wish to identify in timecode exactly where the music is within the programme. This could be useful in later use of the programme if another version was made. This information will not be sent to the MRU.
